Overview
RichVisionCreator approached our freelancing team to diagnose and improve the performance of their Meta (Facebook) ad campaigns. They needed an expert to streamline the ad process—from initial onboarding and requirement gathering to ongoing performance analysis and final reporting.
My Role
Rahul Shakya – UI/UX Designer & Freelancing Process Manager
In this project, I played a key role in managing and coordinating the entire process between the client and our social media expert. My responsibilities included:
- Client Onboarding & Agreement Preparation: Facilitating the initial engagement by preparing agreements and a comprehensive client briefing presentation.
- Requirement Gathering: Collaborating closely with the social media expert to create systematic forms that capture all the necessary data—including vision, target audience, targeting strategies, and competitor insights—from both the client and our team.
- Project Coordination: Acting as the communication bridge between the client and the social media expert to ensure all requirements were met and processes were streamlined.
- Performance Monitoring & Reporting: Monitoring the ongoing performance of the ad campaigns by setting up weekly progress reports, discussing performance metrics, and suggesting actionable improvements for the upcoming week.
- Final Analysis: Analyzing overall campaign performance at the end of the project, identifying key issues, and providing a final report detailing what was not working and recommendations for future improvements.
Challenges
- Broad Targeting Issues:The initial ad campaigns were targeting both the United States and Canada, leading to diluted performance and wasted ad spend.
- Campaign Objective Misalignment:The campaign was set to “Traffic,” which was not entirely aligned with the client’s needs for more conversion-driven outcomes.
- Video Creative Flaws:One of the ad videos had issues with audio noise and subtitles that overflowed the frame, affecting its professional appeal and viewer engagement.
Our Approach
Onboarding & Agreement:
Held a kickoff meeting to understand the client’s objectives and gathered detailed requirements.
Prepared a clear client briefing presentation and onboarding documentation to ensure alignment with all stakeholders.
Systematic Data Collection:
Developed a structured form to gather essential data from the social media expert and the client, focusing on vision, audience, targeting, and competitor analysis.
Established a weekly reporting system to monitor progress and keep the project on track.
Collaboration & Continuous Improvement:
Maintained consistent communication between the client and our social media expert to address concerns and adjust strategies in real-time.
Provided regular progress reports and implemented actionable suggestions based on performance metrics.

Noise Reduction: Cleaned up the video audio for a clearer, more professional presentation.
Speed Adjustment: Increased video speed to 1.2x, ensuring it fit within Facebook Reels’ under-120-second standard.
Issues & Recommendations:
Targeting:
Current: Ads targeted both the United States and Canada.
Recommendation: Narrow focus to one country to refine audience reach and improve campaign effectiveness.
Campaign Objective:
Current: Set to “Traffic.”
Recommendation: Continue with “Traffic” until sufficient data is gathered, then consider shifting to a “Lead” objective to drive better conversion rates.
Video Optimization:
Current: One video exhibited subtitle overflow.
Recommendation: Edit the video to correct subtitle formatting for a more professional and visually appealing result.
Outcome & Reflections
Enhanced Ad Performance:Through targeted adjustments and systematic data collection, the ad campaigns became more aligned with platform standards and client goals.
